Key
Responsibilities
• Prepare monthly bank reconciliations for all corporate bank accounts. Investigate and resolve reconciling items
• Record outgoing investment wires and corporate ACH disbursements in the general ledger.
• Update fixed asset schedules for additions and disposals, record depreciation expense, and reconcile fixed asset and accumulated depreciation accounts
• Prepare month-end journal entries for payroll, 401k, HSA, FSA and other employee benefits
• Code corporate credit card activity into the general ledger, and reconcile activity to monthly statement
• Prepare monthly reconciliation binder, roll forward reconciliation schedules, and maintain supporting documentation for reconciliations
Cash Activity Monitoring and Recording
• Download daily cash activity from banking website(s). Monitor and resolve ACH returns or wire rejections
• Facilitate outgoing electronic transfers, including investment wires, and corporate ACH disbursements
• Research questions or statuses of cash transactions and escalate to corporate bank representatives as needed
• Prepare internal bank transfers as needed, record transfers into accounting system
• Manage Positive Pay exception items, stop payments, voided checks, ACH exceptions, and wire trace requests
Accounts Payable and Expenses
• Manage and organize the AP email inbox; collaborate with internal staff and external vendors as needed to acquire proper and complete approvals for payments
• Lead the weekly AP disbursement process, including coding and inputting complete and approved invoices into the accounting system
• Manage W-9/W-8BEN collection and bank detail updates and prepare new vendor setup requests for approval. Ensure vendor documents and files are organized, complete, and up to date
• Manage donor advised fund (DAF) contracts, payment schedules, and contract renewals
• Prepare AP Positive Pay files and upload to online banking site
• Prepare AP ACH payment batches and wire requests for review and approval
• Lead annual 1099 reporting process
• Respond to staff and vendor inquiries regarding AP invoices and disbursements
Audit, Tax, and Budget
• Assist with interim and year-end audit schedule requests
• Assist with annual tax (Form 990, 990-T, and 1120) schedule requests
• Prepare requested analyses and forecasts to assist in the annual budget process
Grant Disbursements
• Facilitate outgoing wires for grant disbursements
• Generate Positive Pay file from DAF administration system, upload via online banking
• Review and respond to staff and grantee inquiries regarding grant disbursements
Other/Additional
Responsibilities
• Document existing processes and procedures
• Identify internal control weaknesses, and propose and communicate remedial changes leading to effectiveness and efficiencies
• Identify automation opportunities
• Serve as back-up for receiving and routing physical mail and processing remote check deposits (location dependent)
• Perform additional responsibilities aligned with the scope of the role
Qualifications
• Minimum of 3 years of experience working in accounting and bachelor’s degree in accounting, finance, or a related field; or equivalent combination of education and experience
• Experience working in a non-profit and/or investment organization strongly preferred
• Experience using Sage Intacct, or similar web-based accounting system required
• Experience using Expensify, Ramp, or similar web-based expense management application preferred
• Experience participating in systems integrations or other technology/process improvement projects a strong plus
• Demonstrated experience identifying and supporting process or systems improvements within an accounting or finance function preferred
Knowledge and Skill
• Strong Excel skills required; ability to interface with various technology systems such as Teams, Office 365, Asana, Box, and Claude Cowork experience preferred
• Highly attuned skills, attention to detail and professional demeanor
• Strong verbal and written communication a must
• Can-do spirit willing to do what's right and needed to get the job done
• Genuine curiosity and enthusiasm for process improvement, paired with sound accounting judgment
• Prudent and thoughtful in adopting new technology and AI tools to improve accuracy and efficiency, with a willingness to learn as tools and systems evolve
• Flexibility and experience working in a virtual team environment
• Ability to work independently and prioritize competing demands and deadlines
• Knowledge, passion for using investing as a means by which to engender social or environmental impact
Benefits and Perks

• Base salary ranges from $75,000 - $85,000 and is highly dependent on experience and location
